The Development Coordinator will play a crucial role in making CXL’s fundraising and donor cultivation a truly world-class effort. As CXL strengthens and scales its development operations, the Development Coordinator plays a pivotal role in ensuring our team delivers a best-in-class donor experience. This position is ideal for someone who is highly organized, tech-forward, and eager to build expertise across development systems and donor operations. The Development Coordinator provides essential administrative and operational support to both leadership and the Development team with a core focus on Salesforce CRM, donor research, donor acknowledgments, gift processing, and department-wide administrative support. This position will require lots of unglamorous work, solving the little problems and addressing the details that the whole team needs. The ideal candidate is proactive, systems-minded, and brings both curiosity and rigor to their work.

What You Will Contribute:
In this role, you really will play an important role in ensuring our development and fundraising efforts are effective. This means working closely with the co-founders and leadership of the organization, working with our board and partners, and working with donors to ensure that CXL is regarded as the best place to fund for the future of nature. There will be a lot of grunt work, repetitive, crucial tasks and activities that ensure everyone has the information and resources they need to be able to develop creative, truly transformative approaches to ending extinction!
Key activities will include the following, but are surely to include more:
Administrative & Departmental
- Provide administrative support to leadership, including calendar support, meeting prep, and document management.
- Prepare briefing memos, meeting folders, slide decks, and supporting materials for donor conversations and internal meetings.
- Monitor shared inboxes, route inquiries, and ensure timely follow-up.
- Generate and mail/email donor acknowledgments, ensuring high-quality, personalized stewardship.
- Track departmental deadlines including pledge schedules, grant installments, reporting deadlines, etc.
- Monitor the related shared inboxes and route inquiries appropriately.
- Gift processing.
Salesforce & Data Systems Management (Critical Function)
- Experience working in Salesforce, including admin functions, is required for this role.
- Enter donor information, contact details, interactions, and meeting notes into the CRM.
- Maintain clean, accurate, and up-to-date donor records across the donor portfolio.
- Pull reports and lists for donor segmentation, stewardship, and cultivation planning.
- Lead data hygiene efforts, including deduplication, address updates, tagging, and record cleanup.
- Produce Salesforce reports for the executive team.
- Troubleshoot issues and collaborate with Salesforce support to enhance system automation and usability.
- Maintain internal documentation for data protocols and ensure consistent adoption across the team.
Grant Writing, Reporting, Donor Correspondence & Cultivation (Critical Function)
- Draft polished donor-facing communications including thank-you notes, follow-up emails, and simple updates.
- Assist with assembling grant attachments, updating templates, and supporting portions of proposal/report drafting where needed.
- Ensure on-time delivery of grant and donor reporting.
- Assisting with the writing or drafting of proposals and grant reports.
- Maintain an organized library of templates and stewardship materials.
- Assemble and maintain key mailing lists.
- Assist with pre-meeting preparations for donor meetings.
Donor Research & Intelligence
- Conduct research on individuals, foundations, and corporations to assess alignment, capacity, and engagement strategies.
- Synthesize findings from public sources and internal information into brief, concise, and actionable research briefs and updated donor profiles to help CXL staff and leadership tailor outreach, deepen donor engagement, and expand the pipeline.
- Maintain updated prospect tags, research notes, and qualification stages in Salesforce.
Event & Cultivation Support
- Assist with logistical support for donor events: RSVPs, check-in lists, nametags, materials preparation, and follow-up.
- Support development staff in preparing collateral, packets, and materials for donor engagements.
- Cross-functional coordination.
- Coordinate with Finance, Communications, and Program Operations to support donor stewardship and ensure accurate reporting.
- Support monthly and quarterly development cycles, ensuring timeliness and excellence.
What Success Looks Like:
Within the first year, the Development Coordinator will:
- Become the go-to Salesforce resource for clean, reliable data and reporting.
- Establish predictable, accurate workflows that support gift processing, research, and donor stewardship.
- Strengthen coordination between Development, Finance, Program, and Communications teams.
- Enable frontline fundraisers to spend more time building relationships and less time managing administrative tasks.
- Help with the writing of successful grant proposals.
- Contribute to a more organized, efficient, and scalable development operation—one aligned with CXL’s shift toward proactive, relationship-driven fundraising.
- Be an indispensable part of the team that has raised millions of dollars.
Qualifications:
- Bachelor’s degree and 2+ years of relevant experience in fundraising, development, donor management, administration, or a similar role.
- Salesforce experience, including basic admin-level functionality (custom fields, reports, dashboards, workflows, data imports).
- Exceptional attention to detail and commitment to data accuracy.
- Exceptional writing, editing, and professional communication skills.
- Highly organized with the ability to manage multiple deadlines in a fast-paced environment.
- Comfort handling confidential financial and donor information.
- A proactive, solutions-oriented mindset and eagerness to learn.

- Exposure to finance processes and reconciliation.

Office Presence and Travel
For CXL to be successful, we cultivate a culture of creativity, serendipity, and direct human engagement, so we expect you to be in the office at least three days per week.
Some travel, including international, is expected to support fundraising events, donor engagement, and other development activities.
