Operations Coordinator

Location: Los Angeles (Hybrid with in-office days)

Start Date: June 1, 2025

Salary Range: $60,000-$65,000

Reports to: CEO and COS

Core Responsibilities

  • Support operational tasks across the partnership lifecycle, including sales, onboarding, implementation, and engagement including e-mails, calls, and in-person support.
  • Support school and community events by setting up booths and answering student and counselor questions.
  • Research scholarships, write admissions blogs, and track post-secondary policy updates for students and partners.
  • Support internal wiki of organizational standard operating procedures.
  • Support grant writing and reporting, including research, drafting proposals, and tracking deadlines.
  • Prepare materials for funder meetings, including briefings, reports, and impact summaries.
  • Support donor stewardship and fundraising data tracking through regular updates, visualizations and reporting.
  • Explore alumni networks, board networks, and staff/supporter connections to identify potential donors, funders and strategic partners.
  • Provide board support, including preparing meeting materials, scheduling, note-taking, and follow-ups.
  • Manage CEO and team calendar, scheduling key meetings and engagements.
  • Support CoS to onboard new team members, interns, volunteers and consultants.
  • Support CoS to plan and execute team retreats, culture-building activities, and learning opportunities.
  • Coordinate domestic and international travel, including trip itineraries for work travel, speaking engagements, and stewardship initiatives.
  • Prepare CEO for conferences by creating look books of registered individuals and setting it up meetings.
  • Manage organizational purchases and track expenses to ensure accurate budgeting and reporting.
  • Support internal data dashboards for organizational impact tracking.

Qualifications

  • 3+ years of experience in an administrative or operations support role, ideally supporting fundraising, partnerships, or events.
  • Experience navigating educational institutions and engaging with external stakeholders.
  • Comfortable with public-facing communication, including event outreach, tabling, or speaking with community partners.
  • Familiarity with education, college access, or mission-driven nonprofit work is a strong plus.
