Overview:
The Executive Assistant will provide high-level administrative support to the Co-Executive Directors and play a key supportive role on the operations and development team. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple tasks, including calendar management, board meeting coordination, and database maintenance. This role is vital to the smooth functioning of the executive team and the overall effectiveness ofUnlocked Labs’ operations.Responsibilities:
- ***Executive Assistance Manage and coordinate the Co-Executive Directors’ calendars, scheduling meetings, calls, and appointments while ensuring no conflicts. Arrange and prepare for travel, including booking flights, accommodations, and creating itineraries for events, conferences, and speaking engagements. Draft, review, and edit communications, reports, and presentations for meetings and events. Prepare agendas, take minutes, and follow up on action items for key meetings. Assist the Co-Executive Directors and Development Manager with special projects as needed. ***CRM & HubSpot Management Work closely with the Development Manager to ensure that all data entered into HubSpot is accurate, up-to-date, and consistent with organizational standards. Regularly audit and clean the CRM to remove duplicates, outdated information, or inaccurate data, ensuring a streamlined donor and contact management system. Assist in researching, tracking, and validating potential donor leads and funding opportunities. Share insights and data with the Development Manager and Co-Executive Directors to support fundraising and relationship-building efforts. Ensure that all relevant data from other platforms and sources are effectively integrated into HubSpot, including contacts, donor information, and fundraising activities. ***Board Management Prepare and distribute materials for board meetings (agendas, reports, financial statements). Schedule and coordinate board meetings. Follow up with board members after meetings, providing necessary updates, minutes, and action items.
Qualifications:
- Exceptional ability to manage multiple tasks, prioritize effectively, and maintain a high level of detail and accuracy. Strong verbal and written communication skills for drafting, reviewing, and editing materials, as well as interacting with internal and external stakeholders. Proficiency with CRM systems (HubSpot preferred), calendar management tools, and Microsoft Office/Google Workspace. Ability to manage time effectively, coordinate multiple schedules, and meet deadlines. A keen eye for detail, ensuring accuracy in data management, meeting preparation, and project support. Flexibility to support special projects and handle unexpected tasks as they arise. ***Preferred Qualifications: Experience in an administrative, project management, or similar role, or a demonstrated interest in developing executive support skills. Strong organizational skills and exceptional attention to detail, with the ability to manage complex schedules, data, and multiple priorities.
