Trek Medics International is a 501c3-registered nonprofit organization that improves access to emergency and crisis care for at-risk and vulnerable populations through innovative mobile technologies. Trek Medics is seeking an entry-level professional to join its leadership team in the execution and management of the organization’s administrative operations. POSITION SUMMARY

We are seeking an organized and motivated entry-level Administrative Assistant to join our team. The ideal candidate will have experience with QuickBooks Online, a talent for keeping operations running smoothly, and a willingness to learn new administrative skills. This entry-level role is perfect for someone looking to gain hands-on experience in a quickly-growing tech organization.

OBJECTIVES

  • Ensure our finances are kept updated
  • Raise awareness for, and support of, the organization through pro-active business development and outreach
  • Serve as liaison between platform users and software engineers to improve user experience
  • Ensure no going concern in all financial activities

KEY RESPONSIBILITIES

  • Assist with regular administrative tasks including data entry, software account management, and email correspondence
  • Manage and organize administrative files, including insurance records, contracts, and licenses
  • Support bookkeeping tasks using QuickBooks Online, including invoicing, bill payments, and bank reconciliations
  • Maintain accurate records of transactions and assist with financial reporting
  • Help prepare reports, presentations, and other documents as needed
  • Respond to customer inquiries and provide general office support
  • Perform other duties as assigned by supervisor

QUALIFICATIONS

  • 1+ years of administrative experience preferred, but not required
  • A degree in finance/accounting preferred, but not required
  • Familiarity with QuickBooks Online is required
  • Proficiency with Microsoft Office Suite and Google Workspace
  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Ability to maintain confidentiality and handle sensitive information
  • Detail-oriented with a high level of accuracy
