The Executive Assistant & Board Administrator is a critical support role, responsible for providing comprehensive administrative assistance to the CEO and serving as the primary liaison for the Board of Directors. Key Responsibilities

Executive Support: Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. Prepare and coordinate materials for internal and external meetings, ensuring the CEO is well-prepared. Assist in drafting and managing communications on behalf of the CEO, including prioritizing email communications. Anticipate the CEO’s needs and identify opportunities to streamline workflow and processes.

Board Administration: Serve as the primary liaison for the Board of Directors, managing communications and ensuring the timely dissemination of information. Coordinate and prepare materials for board meetings, including agendas, minutes, and follow-up actions. Manage logistics for board meetings, including scheduling, venue arrangements, and technical support.

Project Management: Support the CEO in moving projects forward by assisting with information gathering, communication with stakeholders, and monitoring project plans. Manage special projects assigned by the CEO, ensuring timely and successful completion. Schedule, prepare materials, and ensure follow-up for various projects and meetings.

Relationship Management: Cultivate and manage relationships between the CEO and high-profile stakeholders, including board members, donors, and corporate partners. Ensure the CEO’s external relationships are well-managed and cultivated to maximize impact.

Event Planning: Assist with event planning logistics for internal and external events, ensuring successful execution. Coordinate travel arrangements and itineraries for the CEO and key stakeholders.

Administrative Duties: Handle confidential information with discretion and maintain the highest level of confidentiality. Develop and maintain efficient administrative systems to support the CEO’s workflow. Ensure the CEO’s social media channels are fully leveraged in partnership with the Communications department.

Skills Knowledge and Expertise

  • Bachelor’s degree required.
  • Minimum of 8+ years of experience in administrative support, project management, or external relations roles, preferably within corporate or nonprofit organizations.
  • Proven experience supporting C-suite executives and managing high-profile stakeholder relationships.
  • Excellent written, oral, and interpersonal communication skills.
  • Exceptional organizational and planning skills with strong attention to detail.
  • Proficiency in Google Docs and other office software.
  • Ability to work independently, exercise professional judgment, and maintain discretion.
  • Team-oriented and flexible, with the ability to manage multiple projects simultaneously.
  • Passion for promoting emotional health and preventing suicide among young adults.
  • Alignment with the organization’s guiding principles and commitment to diversity, equity, inclusion, and antiracism.

Pay Ranges / Location / Travel Information

Physical Requirements:
  • Prolonged periods of sitting and working on a computer, including typing, viewing screens, and engaging in virtual meetings.
  • Frequent phone, email, and video conferencing communication require clear speech, active listening, and visual acuity.
  • Occasional standing, walking, and lifting up to 25 pounds for conference booth setup, promotional materials, or event-related tasks.
  • Ability to travel domestically up to 20% of the time, which may involve extended periods of standing, walking, or transporting materials at conferences and events.
  • Flexibility to adjust to different work environments, including home offices, shared workspaces, and on-site event locations.
Pay Ranges:
The range listed on this job posting is based on JED's compensation posting ranges. Salaries may be higher or lower depending on experience and geographic location. Additionally, you will be eligible to participate in our company’s equity program, plus our robust medical, dental, vision, retirement, mental health, and other benefits offered to permanent benefit eligible employees.

Location/Travel Information:
Please note that this position is largely HYBRID and based out of the NYS Tri-State Area Only. The role will require retreat/business meetings at JED’s central office in NYC or other locations as designated by JED leadership. Additional travel may be required.
