The Jed Foundation is seeking a highly experienced Executive Assistant to support their Senior Vice President of Policy, Advocacy & Government Relations, based in Washington, DC. This role requires a candidate comfortable working in a fast-paced policy environment, with extensive experience in managing the daily operations of a busy executive who oversees multiple priorities. The ideal candidate must be highly organized, proactive, and adaptable, with a strong sense of urgency, as responsiveness is critical to keeping up with the dynamic needs of the executive. This is a dynamic role with opportunities to support a wide range of ad hoc responsibilities and special projects.

Key Responsibilities

  • Anticipating Needs: Proactively support the SVP by staying several steps ahead, addressing potential challenges and ensuring requirements are met seamlessly.
  • Liaison Role: Serve as a key point of contact, managing communications between the SVP, internal teams, government relations professionals, external stakeholders, and nonprofit/advocacy organizations.
  • Special Projects: Provide high-level administrative and logistical support for key policy and advocacy initiatives, ensuring smooth execution of high-priority projects.
  • Personal Assistance: Manage occasional personal tasks related to the SVP’s professional obligations, such as coordinating invitations and RSVPs for events.
  • Calendar Management: Oversee a dynamic and complex calendar, ensuring seamless coordination and timely updates for meetings, events, and appointments, with automatic adjustments as necessary.
  • Email Management: Efficiently manage the SVP's inbox by monitoring, prioritizing, responding to, and handling communications, ensuring urgent matters are addressed promptly (flagging urgent emails, scheduling, rescheduling, etc.)
  • Travel Coordination: Automate and arrange all travel logistics for domestic and international trips, including accommodations, transportation, and itineraries, with occasional travel alongside the SVP to key events.
  • Event Support: Provide high-level logistical coordination for in-person and virtual events, managing invitations, RSVPs, and on-site or virtual support.
  • Expense Management: Accurately prepare and submit expense reports on behalf of the SVP, ensuring timely processing and adherence to organizational guidelines.
  • Ad Hoc Responsibilities: Handle additional duties as needed, including support for emerging projects, unforeseen priorities, and evolving organizational needs.

Skills Knowledge and Expertise

  • Experience: 4+ years of prior Executive Assistant experience, preferably supporting senior executives in policy, advocacy, or government relations roles. Experience with expense management is highly mandatory, with a proven track record of accurately preparing and submitting reports.
  • Skills: Strong proficiency in Microsoft Office Suite (PowerPoint, Excel, Teams, Outlook) and GSuite. Excellent written and verbal communication skills are essential.
  • Flexibility: Must be adaptable, able to handle shifting priorities, and comfortable working independently in a remote setting.
  • Dependability & Discretion: High level of discretion and confidentiality, with a strong sense of responsibility and professionalism.
  • Event Support: Prior experience with event planning and travel logistics is a plus.

Pay Ranges:
The range listed on this job posting is based on JED's compensation posting ranges. Salaries may be higher or lower depending on experience and geographic location. Additionally, you will be eligible to participate in our company’s equity program, plus our robust medical, dental, vision, retirement, mental health, and other benefits offered to permanent benefit eligible employees.

Location/Travel Information:
Candidate should be based in the Washington, DC area, be available le to travel for business across Washington DC Area. This role will require retreat/business meetings at JED’s central office in NYC or other locations as designated by JED leadership. Overall, travel is infrequent, with approximately 25% of the time dedicated to event-based travel.

  • Occasional standing, walking, and lifting up to 25 pounds for conference booth setup, promotional materials, or event-related tasks.
  • Flexibility to adjust to different work environments, including home offices, shared workspaces, and on-site event locations.
