About HOT

Humanitarian OpenStreetMap Team (HOT) sits at the nexus of participatory mapping, community-led development, humanitarian response, open data and tech. With a talented and diverse team spread around the globe, HOT is an NGO which supports a dynamic global community of thousands of dedicated volunteers using maps and open data for humanitarian response and the Sustainable Development Goals. Working with humanitarian and development partners like the Red Cross, Médecins Sans Frontières, UN agencies, governments and others, the HOT community maps in solidarity with those affected by or at risk of disaster, contributing the maps and data aid workers need to do their lifesaving work.

In 2020 the work of the HOT community was recognized by TED’s Audacious Project, a collaborative philanthropic initiative that serves as a springboard for social impact on a grand scale, leading to an exciting new phase of growth. HOT is expanding its activities: opening four regional hubs and scaling up its support to local mapping communities with the audacious goal of mapping an area home to one billion people in 94 countries at high risk of disasters or experiencing poverty - mapping with communities before they are in crisis.

About the Role

The Programs & Operations, Sr. Associate plays a central role in several key areas of work at HOT, including global operations and program planning and coordination. The Associate interfaces with all teams and staff members throughout the organization and has an opportunity to support the operational effectiveness of the organization and project/program planning and coordination. The Associate is a key support for improving policies, processes, culture, and program/project portfolio within the organization.

Responsibilities

Operations (70%):

  • Help to foster a collaborative, inclusive culture at HOT, including by:
    • Supporting implementation of HOT’s recognition initiative
    • Staff togetherness and integration initiatives, including HOT’s Buddy System, Party Planning, & Four-Day Work Week
  • Support staff learning & training management, including by:
    • Collectively work to build, socialize and maintain HOT’s new LMS - Learn Worlds
    • Supporting creation and dissemination of org-wide training standards/best practices
    • Managing the overall staff training calendar in alignment with staff and management needs
  • Help ensure safe, cost-effective, and time efficient travel at HOT by:
    • Supporting staff travel requests and situation reports, securing accommodation, supporting visa procurement, supporting safety/security protocol implementation, etc.
    • Act as POC of HOT’s travel platform (Egencia).
    • Support with internal communications to staff on travel planning, including entry/exit requirements, travel itineraries, packing recommendations, etc. for large group travel
  • Support Internal IT needs by actioning IT onboarding/offboarding tasks and supporting systems administration and audit
  • Create and disseminate monthly Ops Digest
  • Administrative tasks, such as coordinating the monthly All Hands Meeting, managing assets, maintaining Operations policies and guidelines and the Intranet, acting as POC for DocuSign, and answering staff questions via email and Slack
  • Other support as needed.

      Project/Program Implementation (30%):

      • Support HOT’s program and project implementation, including by:
        • Aiding annual planning and coordination, including helping to draft guidelines, comms, and templates in GSuite and Asana
        • Acting as staff POC for Asana and help embed Asana into HOT’s PM processes
        • Help identify opportunities to shape and improve HOT’s portfolio management
        • Support in crafting quarterly operational updates to the Board
      • Other support as needed.

            Qualifications

            Essential

            • Minimum of 3-years’ work experience
            • Prior experience in program planning and operational coordination
            • HOT experience (as staff or an intern) required
