The role ensures efficient facilities<br> </div> <div>management, smooth workplace operations and strong vendor partnerships across<br> </div> <div>offices.<br> </div> <div>Working closely with leadership and cross-functional teams, the role coordinates travel,<br> </div> <div>events, facilities and administrative processes to support a safe and well-organised work<br> </div> <div>environment. This is a hands-on role requiring both team leadership and direct execution<br> </div> <div>in a fast-paced, mission-driven organisation, with a focus on continuously improving<br> </div> <div>administrative practices.<br> </div> <div><br></div> <div> <b>Key Result Areas</b><br> </div> <ul> <li><span>Efficient and well-managed workplace and facilities operations across offices<br></span></li> <li><span>Strong employee safety practices and compliance with organisational policies<br></span></li> <li><span>Effective vendor partnerships, procurement processes and contract management<br></span></li> <li><span>Well-managed administration budgets, expenses and operational systems<br></span></li> <li><span>Smooth coordination of organisational events and leadership engagements<br></span></li> <li><span>Strong administrative support and effective team management<br></span></li> </ul> <div> <span><b>Key Responsibilities</b></span><br> </div> <ul> <li> <span><span>Travel, Events & Organisational Engagements: Coordinate and manage travel </span></span>logistics, internal meetings, stakeholder engagements, national events and organisational gatherings.<br> </li> <li> <span>Workplace Operations & Facilities Management: Manage day-to-day office </span>operations including infrastructure, maintenance, utilities and space planning while supporting improvements in workplace efficiency.<br> </li> <li>Vendor Governance & Procurement: Manage vendor partnerships including selection, negotiation, contract management and service delivery, end to end procurement processes.<br> </li> <li>Financial Management: Track administration budgets, expenses and financial processes in coordination with the Finance team, ensuring accurate documentation and compliance.<br> </li> <li>Workplace Experience, People Partnership: Partner with the People & Culture team to support people processes, workplace experience initiatives and organisational events.<br> </li> <li>Administrative Leadership & Team Management : Lead and mentor Administrative Officers across locations, providing guidance, coordinating responsibilities and contributing to team development while also handling operational tasks directly.<br> </li> <li>Stakeholder & Leadership Support: Work closely with leadership and cross- functional teams to provide responsive administrative coordination and support.<br> </li> <li>Compliance & Operational Effectiveness: Maintain administrative documentation, ensure compliance with organisational and identify opportunities to improve efficiency.<br> </li> </ul> <div><br></div></span><br><span id="spanreq"><h3>Requirements</h3> <div> <b>Required Skills & Background</b> <br> </div> <div> <b>Education</b><br> </div> <div>Bachelor’s degree in Business Administration, Operations, Facilities Management or a<br> </div> <div>related field. A Master’s degree is preferred.<br> </div> <div><br></div> <div> <b>Experience</b><br> </div> <ul> <li> <span>6 –10 years of experience in administration, facilities or corporate services roles</span><br> </li> <li>Atleast 1–2 years of experience managing and supervising a team<br> </li> </ul> <div> <b>Skills</b><br> </div> <ul> <li> <span>Strong leadership and people management capability</span><br> </li> <li>Vendor negotiation and contract management expertise<br> </li> <li>Strong planning, coordination and execution skills<br> </li> <li>Comfortable working in fast-paced, multi-stakeholder environments<br> </li> </ul> <div> <b>Languages</b><br> </div> <div>Fluency in English and Hindi or Kannada is required.
