ABOUT THE ROLE
The Program Associate supports the planning, coordination, and execution of Project Evident's high-quality virtual and in-person events. Working closely with internal teams, vendors, and external stakeholders, this role ensures successful event logistics and participant engagement while maintaining operational excellence and alignment with our mission.
The ideal candidate thrives in fast-paced environments and combines strong organizational and communication skills with a passion for creating impactful experiences. Success in this role requires excellent attention to detail, project management capabilities, and customer service skills. You should be able to work both independently and collaboratively, navigate ambiguity with sound judgment, and adapt quickly to changing priorities while maintaining the highest standards of professionalism.
You will report to Sarah Di Troia, the managing director, and work closely with the new OutcomesAI team.
Below is a full list of responsibilities you can expect in this role:
Event Coordination & Logistics (60%)
- Assist and manage event logistics including scheduling, venue arrangements, catering, and vendor relationships.
- Support the creation and distribution of event materials such as invitations, participant guides, agendas, and briefing documents.
- Track event timelines and deadlines to ensure on-time delivery.
- Coordinate travel and accommodations for participants, staff, and stakeholders.
- Provide live support during events to ensure smooth execution and troubleshoot issues.
Administrative & Communication Support (30%)
- Assist with event registrations and communications while maintaining accurate participant data.
- Create and review all event correspondence, including invitations, thank-you notes, and follow-up emails.
- Maintain accurate participant and vendor databases in collaboration with team members.
- Process invoices, reimbursements, and vendor payments for budget tracking.
Technology & Content Management (10%)
- Use event management platforms like Salesforce, Eventbrite, or other tools to manage logistics and participant data.
- Support event promotion through social media posts, email campaigns, and website updates.
- Provide basic support for virtual event platforms like Zoom, Teams, or other webinar tools.

Minimum Requirements
- Bachelor’s degree or equivalent work experience in event planning, communications, or related fields.
- 1-2 years of experience supporting events, preferably in a nonprofit, corporate, or educational setting.
- Experience using common cloud-based productivity platforms and CRM tools, e.g. Google Docs, Office 365, Zoom, Microsoft Teams, Salesforce, and Slack.
- Ease and ability to work with multiple digital platforms, including calendaring platforms.
- Demonstrated experience with project management.
Knowledge, Skills, and Abilities
- Excellent oral and written communication skills, with impeccable attention to detail and high standards for accuracy.
- Demonstrated ability to prioritize and operate within a fast-paced and changing environment.
- Demonstrated ability to work both independently and collaboratively on multiple projects in a fast-paced environment; ability to effectively prioritize time and tasks.
- Extremely high standards for accuracy and impeccable attention to detail.
- The ability to interface with diverse staff and partners in various domains.
- The ability to respond adeptly to rapidly changing priorities and be comfortable in an entrepreneurial environment with fast deadlines.
- Familiarity with design tools like Canva or Adobe InDesign is a plus.
- Experience with social media platforms and email campaign tools is preferred.
- Proficient in using technology and curious about learning new systems.
- Comfortable in a virtual, distributed environment with fast deadlines.
- Experience working with diverse communities and a deep commitment to learning, performance, racial equity, and building a culture of belonging.
WORK ENVIRONMENT
- Ability to work with a virtual team. The team works across multiple time zones and expects regular availability between 10:00 am - 4:00 pm (ET).
- Expected to work 40-50 hours per week, but could fluctuate based on client demands.
- Travel is required to meet the needs of the organization
PHYSICAL DEMANDS
- Ability to sit, talk, and listen continuously for up to 8 hours per day.
- Requires fine motor skills, such as typing for up to 4 hours continuously.
- Ability to lift at least 30 pounds.
- Driver's license required.
