Who You Are
The Patient Care Coordinator is the first point of contact for patients and is the face/voice of the practice. This position must provide excellent customer service to visitors to include greeting patients, patient check out, receiving payments, answering phones, etc. Position also requires scheduling, coordination and follow up with insurance companies and patients, and assisting the practice with special assignments when needed.
What You'll Do
Patient Care & In-Office Support (40%)
- Greet and assist patients with warmth and professionalism
- Ensure patients feel welcomed and comfortable
- Support patient check-in and check-out processes
- Coordinate patient flow, including charts and seating
- Collect and apply patient payments accurately
Scheduling & Phones (40%)
- Schedule and confirm patient appointments
- Ensure appointments are aligned with provider availability and patient needs
- Confirm appointments at least 24 hours in advance and reschedule as needed
- Handle new patient calls and gather necessary information
- Provide new patients with directions, appointment details, and required documentation
Insurance & Administrative Support
- Verify insurance coverage and communicate with insurance providers
- Assist with insurance claims, pre-determinations, and A/R processes
- Address and help resolve insurance-related issues
Additional Responsibilities (20%)
- Assist with special projects as assigned by leadership
- Manage incoming mail and ensure proper processing of payments and documentation
- Support collections, recall systems, and administrative tools (e.g., Smart Doc, A/R systems)
- Perform other administrative tasks to support the practice
What You Bring
- 0–3 years of administrative, front desk, or healthcare experience (dental preferred)
- High school diploma or GED required
- Strong communication skills (written and verbal)
- Ability to multitask and manage competing priorities
- Strong organizational and interpersonal skills
- Comfortable handling confidential information
- Positive, energetic, and professional demeanor
- Strong phone skills and customer service mindset
- Experience with EHR systems and multi-line phones is a plus

- $22.00-$24.00 per hour, dependent on experience
