WHAT YOU WILL DO
The Senior Associate, Finance will assist the line manager in establishing efficient financial support functions for the project/s, ensuring smooth coordination with program stakeholders. This role also includes providing administrative support and accounting services, along with financial management and coordination. The position will be responsible for handling financial and administrative tasks, particularly related to settlement of billing process of logistics and vendor, petty purchase and petty cash management, office utilities, and settlements for programs such as workshops, training, and review meetings under ongoing projects and other initiatives.
Financial Management:
- Maintain day to day financial and accounting activities and record them in the central automated accounting system.
- Ensure proper checking of bills, staff reimbursement etc., petty cash management and process the payment in line with available budgets, and as per organizational policy.
- Look after advance payment and adjustment on time, and inform the authority of any inconsistency.
- Prepare and check bills/vouchers, and register the daily vouchers.
- Check the daily expenditures for accuracy and authenticity and inform the authority if needed.
- Ensure proper maintenance of accounting records with supporting documents.
- Ensure proper vendor verification i.e., BIN, TIN etc. number, etc. before proceeding with the payment.
- Ensure timely statutory deductions i.e., TDS, VDS etc., and deposit thereof, as applicable.
- Prepare Monthly & Quarterly TDS and VDS calculation sheets and ensure timely filing of monthly VAT returns and quarterly withholding tax returns.
- Ensure monthly bank reconciliation of all the Bank accounts held by the organization.
- Support the line manager by preparing different financial reports.
- Ensure timely payment of utility bills related to telephone, electricity, water, etc. before due dates.
- Assist in the Procurement of the supplies for the program need, based on procurement policies.
- Ensure timely audits and compliance with statutory requirements, including tax filings (TDS, VDS) and financial policies.
- Keep detailed records of all project expenditures, ensuring they are within budget and appropriately documented.
- Any other work assigned by the Supervisor and/or higher authority.
Administrative Responsibilities:
- Manage day-to-day administrative operations, including procurement, inventory management, and maintenance of office infrastructure.
- Maintain proper filing of all financial, administrative, and human resource records, including contracts, receipts, and correspondence.
- Liaise with vendors and service providers, ensuring procurement procedures are followed and payments are processed in a timely manner.
- Assist in planning and budgeting for workshops, meetings, and field visits, managing logistics, and ensuring smooth execution.
- Settlements of billing process for programs such as workshops, training, and review meetings under ongoing projects and other initiatives
Compliance & Policy Adherence:
- Ensure compliance with the organization’s financial and administrative policies and procedures.
- Handle statutory filings related to financial management and administration, ensuring adherence to all government regulations (such as: NGOAB, NBR etc.).
- Implement and maintain strong internal controls to safeguard the organization’s assets and resources.
Coordination & Communication:
- Coordinate with internal teams, government officials, and CSO/CBO partners regarding project activities, finances, and administrative matters.
WHAT WE ARE LOOKING FOR
- Master’s degree in Commerce, preferably with a focus on Accounting or Finance
- Chartered Accountancy (CA) course completed; partly qualified candidates will be given preference
- Minimum 3 years’ experience in finance, accounts, and administration, ideally within a reputed NGO or other relevant institution
- Strong motivation to address pressing global health challenges and a commitment to the social development sector and advancing health equity
- Proficiency in MS Office (especially Excel), Google Sheets, and Google Docs
- Hands-on experience with any accounting software
- Fluency in both English and Bangla, with excellent written and verbal communication skills
- Exceptional ability to collaborate effectively within a diverse, multidisciplinary team of designers, analysts, and educators in Bangladesh and abroad
