The Opportunity:
The Coordinator, Advancement Operations will play a key role in ensuring the smooth day-to-day operation of the Advancement Operations department. This role is responsible for maintaining data integrity, optimizing processes and enhancing reporting capabilities. The role will also focus on administrative tasks, data entry, and record maintenance. The ideal candidate will be detail-oriented, proactive, and eager to support the department's mission through effective coordination and data management.

What You’ll Do:

Data Management:

  • Support the maintenance of accurate and current records across the CRM (RE NXT), communication platforms, and data lakes.
  • Assist in ensuring data integrity and consistency across all systems, facilitating seamless integration between platforms.
  • Aid in the management and updating of constituent records, including opportunities, actions, and fundraiser assignments.

Reporting & Analytics:

  • Help develop and maintain reports that are self-serve and accurate.
  • Assist in auditing current reports and dashboards, identifying opportunities for streamlining or decommissioning unused reports.

Administration:

  • Provide general administrative assistance, including but not limited to scheduling, assisting with process documentation and training, managing invoices, assisting with budget tracking, and document management.
  • Update and maintain CRM and ensure timely data entry into the system.
  • Assist with data requests and ensure records are kept up to date.
  • Ensure data integrity through regular audits, hygiene processes, and meticulous data entry, including deduplication and corrections.

Training and Process Support:

  • Support the development and delivery of RE NXT training programs for new and existing staff.
  • Ensure that 100% of staff complete necessary training to improve their autonomy and efficiency in using RE NXT.

Reporting & Analytics:

  • Assist in auditing current reports and dashboards, identifying opportunities for streamlining or decommissioning unused reports.
  • Help develop and maintain reports that are self-serve and accurate.

Our Ideal Candidate:

  • Bachelor’s degree or equivalent experience in database management or data analysis; Raiser’s Edge certification preferred.
  • Minimum 1 year of experience managing CRM systems, ideally Raiser’s Edge NXT or similar platforms.
  • Proficiency in query/report development and data import/export.
  • Familiarity with digital fundraising platforms and data integration tools (e.g., Omatic) is an asset.
  • Expertise in Microsoft Office Suite and proficiency in data analysis tools (e.g., Excel, Power BI).
  • Strong attention to detail, analytical, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment with independence, accuracy and efficiency.
  • Excellent communication skills for training and supporting non-technical staff.
  • Strong organizational and time-management skills to handle complex workflows.
  • Commitment to data integrity and continuous process improvement.
  • Proactive and efficient in handling inbound data requests from internal stakeholders.
  • Demonstrates a strong curiosity and eagerness to learn, staying proactive in expanding knowledge and skills.
