Job Summary
Reports to the Director of Archiving & Data Services and supports several organizational leaders to advance Internet Archives’s work with foundations, funders, donors, and other contributors in support of organizational activities, especially for program-specific and restricted-funding grants and gifts. Responsibilities include: pursuing program-specific grants and funding; overseeing the full life of grant administration including grant writing and management; managing and growing a portfolio of foundation, government, and corporate funders; and coordinating all aspects of proposal development, compliance, and reporting.
Essential Duties & Responsibilities
Identify new prospects and independently manage existing institutional funders that align with the organization’s mission.
Own the creation and submission of high-quality grant proposals and budgets and liaise with other grant-writing staff on proposal development.
Work with programmatic teams to ensure funding matches organizational needs and to align fundraising, budgeting, and storytelling efforts.
Collaborate with Director-level staff to articulate goals, outcomes, and impact in a way that resonates with specific funders.
Use the organization’s customer relationship management system (CiviCRM), as well as other tools and systems to track grants, contacts, deadlines, communications, record keeping, and grant calendars and reporting.
Monitor grant compliance by communicating funding or program status to relevant stakeholders, tracking restricted fund usage, and flagging concerns to the grant leads and managers.
Prepare progress and final impact reports with program and financial data in partnership with grant and program managers and philanthropy staff.
Lead and participate in funder stewardship activities including communications, meetings, events, and other direct coordination with granting entities, foundations, and similar.

Possesses a working knowledge of philanthropy trends and grant compliance requirements.
Ability to travel (estimated 10%-20%) is required.
Communication Skills
Impeccable writing, editing, communication and presentation skills especially in speaking clearly with potential funders and donors.
Able to communicate information, tell a story and share ideas in a clear and a persuasive manner.
Interpersonal Skills
Knows how to work as a team player who is willing to share knowledge and be open to learning from others.
Organizational Skills
Abile to manage multiple simultaneous projects, deadlines, and responsibilities and succeed in a loosely-structured, dynamic work environment.
Computer Knowledge
Proficient in Google suite, Slack, and donor databases.
Able to Reason & Think Critically
Strategic thinking capabilities with effective problem solving skills, sound judgment and practical approaches.
Education and Experience
Required: Five (5)+ years of experience in grant writing, grant management/administration, and/or institutional fundraising.
Required: Experience in crafting compelling proposals and full grant applications, particularly proposals that translate technical activities and organizational goals into clear narratives and outcomes.
Required: Proven track record in successful fundraising, especially with foundation, corporate, and government funders or similar experience with Request for Quotes, tenders, contract proposals, submissions, and management.
Required: Experience working with Customer Relationship Management systems and grant tracking tools.
Preferred: Experience working in CiviCRM or similar fundraising or donor tracking systems.
Preferred: An advanced degree or equivalent experience in nonprofit management, communications, and/or a related field.
Preferred: A background working in and with non-profit organizations.
Preferred: Experience working remotely and with remote teams.
