The Philanthropy Assistant plays a crucial role in supporting the Internet Archive’s fundraising and donor relations efforts. This role involves providing administrative support, assisting with donor communications, and contributing to the planning and execution of fundraising events and campaigns.

Key Responsibilities:

  • Administrative Support:

    • Assist with the management of donor databases, ensuring accurate and up-to-date records.

    • Prepare and proofread correspondence, reports, and other documents.

    • Schedule and coordinate meetings, including preparing agendas and taking minutes.

  • Donor Relations:

    • Support donor recognition efforts, including the preparation of thank-you letters, acknowledgments, and reports.

    • Concentration on the donor recognition program for the year end campaign.

  • Event Coordination:

    • Help organize fundraising events, including logistical planning, guest management, and support.

    • Assist with the preparation of event materials and promotional content.

  • Fundraising Campaigns:

    • Support the planning and implementation of fundraising campaigns and initiatives.

    • Track and report on campaign progress, including donor engagement and contributions.

  • Research and Reporting:

    • Conduct research on potential donors, grant opportunities, and philanthropic trends.

    • Assist in preparing reports and presentations for internal and external stakeholders.

Qualifications:

  • Bachelor’s degree in nonprofit management, communications, business, or a related field preferred.

  • At least 1-2 years of experience in administrative support or a related role, preferably in a nonprofit environment.

  • Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.

  • Excellent written and verbal communication skills.

  • Proficiency in Google suite and familiarity with donor management software (e.g., Salesforce, Raiser’s Edge, Cici CRM) is a plus.

  • Ability to work collaboratively in a fast-paced, team-oriented environment.

  • A passion for philanthropy and a commitment to the mission of the Internet Archive.
