Personal Assistant with support of NCCR HR & Equal Opportunity activities

The Swiss federal government has approved six new National Centres of Competence in Research (NCCRs). These programmes will provide long term strength to key strategic research areas in Switzerland. ETH Zurich heads three of the six approved NCCRs, namely the NCCR “Genesis”, and sees this as a major opportunity for education, top-level research and knowledge transfer to industry and society. “Genesis” investigates the origin of life as a gradual transition from inanimate matter to living organisms. The centre will be managed in close cooperation with the University of Lausanne (UNIL). The project brings together more than 100 scientists from all parts of the country, bridging the gap between biology, chemistry, astrophysics, and Earth and planetary sciences.

Project background

In order to strengthen the small project team we are establishing the new function: Personal Assistant to the NCCR Director (Professor Queloz) with an additional role to support NCCR HR & Equal Opportunity activities.

In this double-folded position, you will play a key role to support Professor Didier Queloz' activities, and at the same time you will involved in NCCR HR & Equal Opportunity activities and act as the secretary of the related committee.

Job description

Duties and tasks as a Personal Assistant to Professor Queloz (60%):

  • The comprehensive planning, coordination, and prioritization of your supervisor's calendar, including travel arrangements, is your responsibility.
  • Support Senior member of the group or assistant professor related to Professor Queloz in ETHZ administrative matters
  • You maintain close communication with other key people managing NCCR Genesis operation at ETH Zürich.
  • You are in charge of taking meeting minutes and monitor the implementation of decisions and tasks.
  • You are in charge of the coordination of internal communication, announcement/new and regular website updates, in Prof Queloz group, including some general duty for the Institutes.
  • You are in charge of all HR related processes for the research group including the smooth onboarding of new members. For NCCR Genesis you are the secretary of the Equal Opportunity Committee.
  • As the first point of contact for Queloz’s research group, you coordinate internal and external stakeholders as well as visitor programs.
  • You handle administrative tasks such as mail processing, document management, and process support routinely.
  • You efficiently and carefully process ad-hoc tasks arising from daily operations.
  • You coordinate the organization of the group's annual science conference, welcome & network events, lunch seminars etc.

Duties and tasks NCCR HR & Equal Opportunity (20-40%):

  • You act as a contact point for questions related to HR policies and equal opportunity within the NCCR and act as secretariat of the Equal Opportunity Committee.
  • You monitor personnel appointments funded by the NCCR.
  • You ensure compliance with SNSF rules on employment eligibility, salary scales, gender equality and equal opportunity measures.
  • You coordinate the support of career development measures for early-career researchers (PhDs, Postdocs) including mentoring and training.

Profile

  • Several years of experience in an executive-level assistant function in an academic environment or the service industry.
  • Strong organizational skills as well as a structured, proactive and forward-looking way of working.
  • Professional, confident appearance and strong service orientation – combined with diplomatic skill and a political sense in sensitive situations.
  • Very good communication skills with fluency in German, French and English.
  • Confidence in dealing with different, demanding target groups and communication formats.
  • Solid experience in managing several tasks simultaneously under time pressure, correctly setting priorities, and independently developing solutions.
  • High flexibility, reliability, accuracy, and absolute discretion in handling confidential information.
  • Teamplayer with a good sense of humour.
