SUMMARY DESCRIPTION
The Gender Racial Ethnic Justice-International (GREJ-I) team is hiring a Program Assistant (PA) to join their team. The PA will support three Program Officers and will play a pivotal role in managing their calendar of appointments, meetings and work-related travel. Additionally, the PA will help support various activities for them, such as managing the logistics of convenings and meetings, managing communications and follow-up. The PA will be required to schedule meetings across multiple time zones and must possess strong cross-cultural competency skills.
The ideal candidate will be a detail-oriented, organized, problem solver who is a self-starter and remains calm and gracious in high-pressure situations. They will also be able to take direction from multiple people while managing competing priorities and should feel comfortable collaborating with people of all levels and backgrounds. This position is an excellent opportunity for someone eager to learn from a collaborative and inclusive team tackling issues on Gender - based violence.
The Ford Foundation is committed to practicing salary transparency. The compensation for the GREJ-I Program Assistant is at minimum $75,000 and maximum is $87,000. RESPONSIBILITIES
Principal duties and responsibilities, include but not limited to:
Manage Program Officers' schedules
Manage travel planning and logistics for Program Officers, including processing expense reports
Initiate and manage the contracts process, including tracking payments, and forwarding invoices for payment
Provide general administrative support, including assisting with onboarding for new hires, creating, editing and managing documents and other administrative tasks as needed
Provide support for grant administration, including and coordinating correspondence
Establish and maintain appropriate files, including virtual grant file records
REQUIRED QUALIFICATIONS
A team player with an ability to work in diverse teams with accountability and responsibility
Ability to prioritize and handle multiple tasks
Excellent oral and written communications skills with high attention to detail and accuracy
Detailed knowledge of and demonstrated proficiency in the use of Microsoft Office and Google applications, including Microsoft Outlook, Word, Excel, PowerPoint and Google Drive, Sheets, Docs, Slides
Possess a learning and growth attitude and open to constructive feedback
College degree plus a minimum of 1 year of work experience or equivalent combination of education and work experience
PHYSICAL REQUIREMENTS
This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer.
