P150 is seeking an Operations Manager who will play a critical role in ensuring the seamless execution of P150’s initiatives and daily operations, overseeing systems and workflow management, event logistics, and executive support.

Education and Experience Requirements
3+ years of experience in operations, executive assistant roles, or administrative support, preferably in a nonprofit, philanthropy, or professional network setting.
Experience and motivation to work in an entrepreneurial, start-up, remote context.
Knowledge, Skills and Abilities
Hands-on experience managing digital tools, including project management software (e.g., Notion), CRM platforms (e.g., AirTable), and communication tools (e.g., Slack, Mailchimp).
Familiarity with integrating platforms and basic troubleshooting for tech tools.
Excellent written and verbal communication skills, with experience drafting professional correspondence and event materials.
Strong project management and organizational skills, with a keen attention to detail
Experience working with different stakeholders and across diverse cultural contexts.
Proficient with Microsoft Office (Word, Excel) and Google Suite (Sheets, Docs, Slides).
Analytical thinking, problem-solving, organizational, and multitasking skills.
Additional Notes
This position is fully remote and limited to candidates with authorization to work for employers in the United States.
Role and Responsibilities
Executive and Administrative Support
Calendar Management
Coordinate and maintain complex calendars for the Executive Director as needed, finding alignment across multiple time zones and prioritizing key engagements.
Team Travel Arrangements
Plan and book travel itineraries for events requiring team-wide participation, such as team retreats and P150 in-person meetings, including flights, accommodations, and local transportation.
Expense Management and Bookkeeping
Track and process expenses, manage reimbursements, and oversee accurate bookkeeping to ensure financial accountability.
Meeting Planning and Note-taking
Support the Executive Director to prepare weekly team syncs, draft agendas, and take detailed notes to ensure action items are captured and followed up.
Member and Community Support
Member Onboarding and Offboarding
Oversee the backend onboarding processes and automation to bring new members into the network and manage the exit process for departing members.
Maintain member communications (Mailchimp and Gmail) by drafting and distributing regular communications to members; monitor and respond to inquiries received through the primary email account, ensuring timely and professional communication.
Enforce database maintenance by updating and organizing P150’s funding and job opportunities databases for network members, keeping information current and accessible.
Event Planning and Coordination
Support the P150 team to execute virtual and in-person events, creating and managing processes for event registration, logistics, and post-event follow-up.
Source and manage relationships with vendors and suppliers for events, ensuring quality and cost-effectiveness.
Backend Operations
Oversee the organization’s suite of digital tools and platforms, ensuring they are optimized for efficiency, properly integrated, and meet the team’s operational needs.
Create and implement an organized system of knowledge and data management, ensuring ease of access and compliance with data protection standards.
Oversee timelines and deliverables for internal projects, coordinating across the remote P150 team to ensure milestones are met.
Regularly review and update P150’s Standard Operating Procedures to ensure they reflect current best network practices and organizational needs.
Provide basic technical support to the team, assisting with troubleshooting and ensuring smooth use of tools and platforms

Compensation
Compensation for this Contracted position is $50 - $60, hourly, commensurate with experience. Anticipated work is about 80 - 100 hours monthly.
