The Academic Operations Associate plays a crucial role in CommonLit's Academic Operations by flexibly supporting and implementing:
- the digitizing workflow and content acquisition across all learning products—CommonLit 360 Curriculum, Supplemental Text and Lesson, and Assessment
- knowledge and information storage and organization across the Academic Department—Operations, Curriculum/Supplemental, and Professional Development
- exposure mitigations and cheater prevention workflows connected to CommonLit 360 Curriculum, Assessments, and Unit Skills Assessments.
Responsibilities
This role will require that the Academic Operations Associate lean into various special projects, as needed and guided by the Academic Operations team. Below is our current thinking around how the Associate will spend their time; this is subject to change based on team needs.
Permissions Acquisition and Operations Management
Estimate 35% of Academic Operations Associate’s time
- Support content licensing process by researching copyright holders and organizing needed renewals.
- Contribute to and implement permissions process improvements as determined by the Senior Academic Operations Lead and Coordinator.
- Follow guidance to organize permissions contracts to ensure consistent and intuitive storage.
- Implement permissions contract and copyright audits.
- Support project tracking systems to ensure efficient workflow and timeline adherence (e.g. with Asana, Notion, Google Drive).
Estimate 25% of Academic Operations Associate’s time
- Track internal project records, materials, and documentation across various information platforms (e.g. Notion hub, Google Drive, etc.)
- Contribute to academic, operational, and cross-functional projects as needed, supporting the broader goals of the Academic Department—Operations, Curriculum/Supplemental, and Professional Development
- Flexibly assist with high-priority initiatives that align with organizational objectives and strategy, leveraging skills in project management and communication.
- Support the exposure mitigation and cheater prevention workflows by reviewing and sending takedown notices and contributing to efficient and effective process improvements.
- Flexibly support Professional Development as needed with tasks such as unit video production and internal content organization and tracking.
Estimate 35% of Academic Operations Associate’s time
- Implement the formatting, copyediting, digitizing, and revision/updates processes for all learning products, including the 360 curriculum, supplemental texts and lessons, assessments, and related flex requests.
- Apply best practices and standard processes to ensure consistent, high-quality digital content production.
- Follow and implement digitizing decisions and flex requests, acknowledging digitizing priorities.
- Adhere to quality control measures for digitized content, ensuring adherence to CommonLit's standards and best practices.
- Support the development and revisions of Unit Guides and PDF Downloads, applying attention to detail and incorporating feedback from relevant stakeholders.
- Collaborate with team members to implement enhancements that increase efficiency and quality of digitized content.
Estimate 5% of Academic Operations Associate’s time
- Build and maintain positive relationships with team members and project stakeholders.
- Contribute to conversations with product and engineering to support a common understanding of the backend and needed improvements.
- Contribute actively in Academic Operations meetings, providing insights on processes and timelines.
- Contribute expertise to academic, operational, and cross-functional projects as needed.
- Flexibly assist with high-priority initiatives that align with organizational objectives.
- A Bachelor’s degree
- 0-2 years of relevant work experience
- Required: Lived experience or work experience in communities of color
- Preferred: Experience in writing and/or copy editing
- Strong communication skills with multiple stakeholders
- Strategic thinker, self-starter, with strong time-management skills
- Strong attention to detail and desire for feedback
Salary: $60,000 - $70,000/year, commensurate with experience
