About the Role

We’re hiring a Senior Associate in the Office of the CEO who will work on high-priority projects, operations, and communications. You’ll work across all functions to ensure the organization runs smoothly and makes timely decisions, with follow-through.

What You’ll Do

Reporting to the Chief of Staff, you’ll be a trusted partner to the CEO and CoS, driving execution, operations, and communications across the organization.

  • Executive & Event Support - Manage complex scheduling, travel, prep, and follow-up for the CEO and CoS. Lead logistics for key meetings, offsites, board prep, and cross-functional events.
  • Operations & Special Projects - Support workflows across all 9 functions, special initiatives, and progress reviews. Maintain and improve templates, workflows, and policies while unblocking teams.
  • People & Process Enablement - Oversee onboarding/offboarding, professional development cycles, and serve as a go-to resource for internal systems and processes. Identify and implement scalable operational improvements.
  • Research & Communications - Prepare board materials, partner briefs, and internal updates. Deliver quick-turn research, analysis, and vendor comparisons, ensuring alignment across stakeholders.
  • Finance operations - Support the CFO by handling light finance operations, including invoice/reimbursement processing, monthly close coordination, budget tracking, and vendor management. Assist with audit, compliance, and SOC2 offboarding tasks.

About You

We know no candidate will meet 100% of the qualifications. We value lived experience, transferable skills, and deep curiosity just as much as formal experience. That said, the strongest candidates will demonstrate:

  • You operate two steps ahead - spotting risks, surfacing opportunities, and moving to solutions without being asked. You learn fast, take sparse context, and ship a first draft or plan that’s 80 percent right in short order.
  • You strike a balance between speed and judgment, knowing when to move quickly and when to slow down for quality, compliance, or stakeholder alignment.
  • You’re a high-range communicator who can distill a complex situation into insightful summaries or dive into the weeds with functional teams. You’re adjusting altitude and tone in real time. You think in systems, understand how decisions ripple across teams, and design processes that scale.
  • You have deep integrity and can be trusted with highly confidential information, always handling it with professionalism and discretion.
  • You sweat the details. Calendars, documents, follow-ups, contracts, and numbers are accurate and are delivered on-time. You take ownership, keep commitments visible, and ask for help early when needed. You thrive in ambiguous, fast-moving environments and create clarity to keep work moving forward.
  • You’re collaborative and humble - you’re willing to ask questions, share credit, and jump in where needed. You’re committed to equity, inclusion, and social impact, and you bring discretion and professionalism to every interaction.
  • You also bring:
    • Experience supporting operational workflows, ideally in a nonprofit or startup environment
    • Clear, thoughtful written communication (especially in async tools like email, Notion, and Slack)
    • Comfort using or learning tools like Expensify, Gusto, QuickBooks, and Notion
    • An orientation toward structure and optimization for scale
    • Strong attention to detail and a bias toward action - see a gap, raise it, close the loop
    • Comfort working independently while juggling many priorities
    • Bonus: experience supporting finance workflows, legal coordination, or HR processes

  • Salary range:
    • Full-time employees (FTE): $70,000–$80,000 for full-time employees, with full benefits eligibility. See below for details.
    • Part-time or contractor arrangements (less than 40 hours per week), compensation can be discussed and will be adjusted accordingly. Benefits eligibility will NOT apply.

  • Note: CareerVillage is an at-will employer. New hires will begin with a two-month introductory period designed to ensure mutual fit and provide onboarding and feedback.

We are a remote-first organization and can hire for this role from the following states in the USA: Alabama, Arizona, California, Colorado, Florida, Georgia, Hawaii, Idaho, Illinois, Indiana, Maryland, Massachusetts, Montana, New Hampshire, New Jersey, New Mexico, New York, North Carolina, Oklahoma, Oregon, Pennsylvania, Texas, Utah, Virginia and West Virginia. Hybrid is optional in NYC. CareerVillage has team members worldwide, with our HQ in Palo Alto, CA.
