Position Summary
The Fellowship Associate, Activate Berkeley provides operational support to the Activate Berkeley Community and its fellows. The Fellowship Associate will be a vital member of the Berkeley Fellowship team and will help coordinate and execute the Fellowship experience. This includes logistics for virtual and in-person programming, community events, and new fellow selection and onboarding. The Fellowship Associate will also be responsible for data management, communications with stakeholders (e.g. applicants, fellows, and visitors), tracking Fellowship requirements, local event planning, local office management, and general support to other Activate Fellowship communities and initiatives.
The Fellowship Associate reports to the Senior Fellowship Manager, Activate Berkeley.
Primary Responsibilities
- Events: Coordinate and execute Fellowship events including bi-weekly local programming logistics, meetings between visitors and fellows, quarterly social activities, and 1-2 large annual events.
- Calendar management: Coordinate scheduling of meetings including regular meetings between fellows and the Managing Director, quarterly meetings between fellows and staff, office visitors, and other internal and external meetings.
- Office management: Manage the Activate Berkeley office. Coordinate visitors, coordinate with building management, stock supplies, set up and break down in-office events, and maintain a welcoming environment.
- Data, reporting, and communications: Keep accurate fellowship records and support the team in managing fellow data. Support reporting and communications to other Activate teams, close partners at Lawrence Berkeley Lab’s Cyclotron Road program, external stakeholders, and funders/partners.
Requirements
- 1-3 years of experience with event planning, administrative duties, project management, or a related field.
- Bachelor’s degree required. Candidates from a wide range of academic backgrounds are encouraged to apply, including communications, science, public administration, or related fields.
- Ability to work independently and as part of a cross-functional team.
- Strong written and oral communication skills.
- Experience with Google Workspace and/or Microsoft Office.
- Ability to work at least 3 days per week on site in our Berkeley office.
The Ideal Candidate…
- Has experience supporting program operations, scheduling, or event coordination, or has related experience managing multiple deadlines and tasks on different timescales.
- Has experience with data and project management tools (e.g. Airtable, Asana, Hubspot, Notion).
- Enjoys organizing events that build community, networking within the broader ecosystem, and finding creative ways to bring people together.
- Enjoys administrative, detail-oriented work and takes pride in execution and follow-through, and is able to adapt to evolving needs of the team or event.
- Takes the initiative to push a project forward or improve a process.
- Has a positive attitude, sense of humor, and flexible working style.
- Believes in the power of science innovation to address the world's hardest challenges.
About the Role
This is a full-time position with a competitive salary range of $70,000-$75,000 with a generous benefits package that includes professional development, $2,000 in annual wellness funds, flexible paid time off, healthcare premiums covered at 90%, and the opportunity to join a retirement plan with a 3% match beginning after 3 months at Activate.
This is a hybrid role with approximately 3 days/week in our Berkeley office. This role includes tasks that may involve prolonged sitting, standing, and moving throughout the office. The position also requires the ability to occasionally lift and carry up to 50 pounds in connection with office operations and event support.
